Goal
We are seeking an experienced Facilities Specialist to support the safe, efficient, and compliant operation of our London office. The role will be responsible for day-to-day facilities management, workplace operations, building maintenance, Health & Safety compliance, and the delivery of workplace projects.
The successful candidate will possess strong technical facilities management expertise, a thorough understanding of UK Health & Safety legislation, and experience managing vendors, landlords, and building stakeholders. Experience supporting office design and build projects, from minor refurbishments to larger workplace fit-outs, is highly desirable.
The role will also support office occupants and, where applicable, coordinate facilities services and operational requirements for subtenants within the building, ensuring a consistent and high-quality workplace experience for all users.
General Profile
Key Responsibilities:
Facilities Operations
• Support the day-to-day facilities management of the London office.
• Ensure a safe, compliant, and productive workplace environment for employees and visitors.
• Coordinate planned preventative maintenance (PPM) and reactive maintenance activities.
• Manage relationships with landlords, managing agents, contractors, and service providers.
• Support office occupants by resolving facilities-related issues and maintaining service excellence.
• Coordinate facilities services and operational requirements for subtenants, ensuring lease obligations and service expectations are met.
• Conduct regular inspections of office space, plant rooms, and building infrastructure.
• Monitor and maintain office housekeeping and cleanliness to the highest quality standards, adhering to departmental standard operating procedures.
Building Systems & Maintenance
• Manage and monitor building systems including HVAC, electrical, mechanical, plumbing, lighting, and life safety systems.
• Utilize and interpret Building Management System (BMS) data to optimize building performance and occupant comfort.
• Support maintenance programmes to ensure building assets remain fully operational and compliant.
Work closely with engineering and maintenance contractors to resolve technical issues.
Health, Safety & Compliance
• Ensure compliance with UK Health & Safety legislation and company policies.
• Manage contractor safety, permit-to-work systems, risk assessments, and method statements.
• Support fire safety management, emergency planning, and evacuation procedures.
• Maintain statutory compliance documentation, audits, inspections, and certification records.
• Investigate incidents and near misses, implementing corrective actions where required.
Projects & Workplace Improvements
• Support office design, fit-out, refurbishment, relocation, and workplace improvement projects.
• Independently manage minor works projects and support larger capital projects.
• Coordinate consultants, contractors, and stakeholders throughout project lifecycles.
• Participate in project planning, design reviews, commissioning, and handover processes.
• Ensure projects meet operational, technical, Health & Safety, and workplace requirements.
Financial Management
• Assist in managing facilities operational expenditure (OpEx) and capital expenditure (CapEx) budgets.
• Monitor contractor costs, service contracts, purchase orders, and invoices.
• Identify opportunities for cost savings, efficiency improvements, and value-added services.
Sustainability
• Support sustainability, energy management, and environmental initiatives.
• Assist in the implementation of Net Zero and carbon reduction programmes where applicable.
• Monitor energy performance and identify opportunities for improved building efficiency.
Qualifications and experience
You the Candidate – Qualifications and experience:
Qualifications
• NEBOSH General Certificate, IOSH Managing Safely, or equivalent Health & Safety qualification.
• IWFM qualification desirable.
• Degree or equivalent qualification in Facilities Management, Building Services, Engineering, Construction, or a related discipline preferred.
Experience
• 7+ years' experience in facilities management within a corporate office environment.
• Strong knowledge of UK Health & Safety and workplace compliance requirements.
• Managing office facilities operations and workplace services.
• Experience with HVAC systems, building engineering services, and Building Management Systems (BMS).
• Managing both reactive and planned maintenance programmes.
• Supporting and managing facilities CapEx and OpEx budgets.
• Coordinating contractors, vendors, and landlord relationships.
• Delivering office refurbishment, fit-out, or design and build projects.
Desired Experience
• Delivering major office fit-out or workplace transformation projects.
• Managing facilities services for multi-tenanted buildings or supporting subtenant occupiers.
• Supporting sustainability, ESG, or Net Zero initiatives.
• Experience with using ServiceNow, CAFM systems and facilities reporting platforms.
